Privacy policy
In this document, we present the rules for the processing of personal data in connection with subscribing to our newsletter, applying for an event as an exhibitor, applying for the Greater Poland competition and applying for press accreditation by journalists.
Data administrator

Why, how long and on what legal basis will we process your personal data?
Your personal data will be processed in accordance with the Act of May 10, 2018 on the protection of personal data (Journal of Laws of 2018, item 1000) and in accordance with Regulation 2016/679 of the European Parliament and of the (EU) Council from April 27, 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (GDPR). Further on, we indicate in more detail on what grounds we process your data.
- Newsletter users
Your personal data that you provided when subscribing to the newsletter will be processed in order to send you: information about the events organized by us via e-mail or telephone, commercial offers and other information about products and services. Providing personal data is voluntary, but necessary to subscribe to the newsletter.
Your personal data will be processed for the duration of the newsletter, unless you opt out of receiving it earlier, which will remove your data from the database.
The legal basis for processing is your consent (Article 6(1)(a) of the GDPR).
- people registering for events as exhibitors
When applying for an event as an exhibitor via the online application form, you must provide the data necessary to register and perform the contract, such as name and surname, billing address, e-mail address, telephone number. Providing data is voluntary, but necessary to register and conclude a contract.
The data provided to us in connection with the application is processed in order to handle the application and perform the contract (pursuant to Article 6(1)(b) of the GDPR), issue an invoice and include the invoice in our accounting documentation (Article 6(1)(c) GDPR) and for archival and statistical purposes (Article 6(1)(f) of the GDPR).
Data on applications will be processed for the time necessary to handle the application and perform the contract, and then until the expiry of the limitation period for claims under the concluded contract. In addition, after this period, the data may still be processed by us for statistical purposes. Also remember that we are obliged to store invoices with your personal data for a period of 5 years from the end of the tax year in which the tax obligation arose.
- People applying for the Greater Poland (GP) competition
When applying for the contest, you must provide the data necessary to apply and take part in the contest, such as name and surname, e-mail address, telephone number, billing address. Providing data is voluntary, but necessary to register and participate in the competition.
The personal data provided to us will be processed in order to handle the application, conduct the competition and select the winners (pursuant to Article 6(1)(b) of the GDPR), issue and service invoices (Article 6(1)(c) of the GDPR) and in archival and statistical purposes (Article 6(1)(f) of the GDPR).
The name of the author of the recipe/project and/or the name of the company will be posted on the websites https://www.hempathyexpo.pl/ and https://www.facebook.com/hempathyexpo, based on your consent (Article 6(1)(f) and GDPR).
Data on applications will be processed for the time necessary to handle the application, and then until the expiry of the limitation period for claims under the concluded contract. In addition, after this period, the data may still be processed by us for statistical purposes. - Press accreditation applicants
Personal data provided to us in the form will be processed in order to handle the application (pursuant to Article 6(1)(b) of the GDPR), to send information about events based on your consent (Article 6(1)(a) of the GDPR) and for archival and statistical purposes (Article 6(1)(f) of the GDPR).
Personal data regarding granted accreditations will be processed for the time necessary to handle the application and then until you resign from receiving information from us. In addition, after this period, the data may still be processed by us for statistical purposes.
Who will we share your personal data with?
Your personal data may be transferred to our subcontractors, i.e. entities whose services we use to process data and provide services to you:
- Google Inc., 1600 Amphitheater Parkway, Mountain View, CA 94043, USA. – in order to contact you directly by e-mail or telephone (we use Gmail and save contacts there)
- Newsletter Users

- Newsletter Targowo, i.e. a platform for newsletter subscribers, owned by the Data Administrator
- Registered exhibitors and participants of the competition

- Comarch S.A. with its registered office in Krakow, Aleja Jana Pawła II 39a – in order to use the invoicing program in which the data of persons for whom the invoice is issued is processed,
- Web INnovative Software Sp. z o. o. with its registered office in Wrocław, ul. Bolesława Krzywousty 105/21 –in order to use the invoicing program in which the data of the persons for whom the invoice is issued is processed,
- Accounting office – in order to use the services of an external accounting office that processes data visible on invoices.
The recipients of your personal data may also be entities authorized to obtain personal data.
Security
Your personal data will be stored in accordance with the standards of security protection and confidentiality. Personal data is collected with due diligence and properly protected against access by unauthorized persons.
Your rights
You have the right to access your personal data, rectify it, delete it, limit processing, object to the processing of personal data, transfer data, withdraw consent to the processing of personal data. You can contact us in this matter by e-mail at: biuro@hempathyexpo.pl. You have the right to lodge a complaint with the Office for Personal Data Protection.
The rules related to the implementation of the indicated rights are described in detail in Art. 16-21 GDPR. We encourage you to familiarize yourself with these regulations. We emphasize that the above-mentioned rights are not absolute and you will not be entitled to all activities related to the processing of your personal data. For your convenience, below we indicate what are the limitations regarding your rights in connection with the contract concluded with us.
In the case of contract data, you cannot rectify this data after the contract has been performed. You also cannot object to the processing of data and demand the deletion of data until the expiry of the limitation period for claims under the concluded contract. Similarly, you cannot object to the processing of data and request the deletion of data contained in invoices. After the expiry of the limitation period for claims under the concluded contract, you can, however, object to our processing of your data for statistical purposes, as well as demand the removal of your data from our database.
